SKSU MotorPool & E-MotorPool

The MotorPool at SKSU started many years ago, operating completely manually. All vehicle requests, schedules, and trip logs were recorded on paper, while staff communicated primarily through phone calls and direct coordination. Errors were frequent: double bookings, missing logs, delays in trips, and lost paperwork made daily operations highly stressful. Staff had to carefully track every vehicle and driver to ensure timely transportation for academic programs, research projects, and community service activities. Each day required meticulous planning, cross-checking requests, and constant coordination between multiple offices. Despite these challenges, dedicated staff worked tirelessly, often beyond regular office hours, to maintain an organized and functional MotorPool system.

As the university expanded, vehicle demands increased, and the limitations of a manual system became more evident. Miscommunication led to overlapping schedules, causing delays for faculty, students, and administrative personnel. It became clear that a digital solution was essential to reduce errors, improve efficiency, and streamline vehicle allocation. The implementation of technology also opened doors for better record-keeping, monitoring usage trends, and planning future fleet expansions.

In 2026, three innovative SKSU students developed the E-MotorPool system as a capstone project. This modern platform introduced online requests, automated scheduling, notifications, and administrative dashboards. The transformation significantly reduced errors, improved transparency, and allowed staff and students to manage vehicle requests efficiently. Training sessions were conducted for faculty and staff, ensuring smooth adoption of the new system and continuous support.

Today, SKSU E-MotorPool represents a blend of tradition and innovation, ensuring that the MotorPool operates smoothly while reflecting the creativity, problem-solving, and teamwork of the students and staff who built it. The system continues to evolve, incorporating feedback, expanding features, and ensuring that the MotorPool remains a model of efficiency and service for the entire university community.
